To ensure a seamless and personalized experience, we kindly ask that you review and adhere to the policies below:

Booking Deposit

A 25% non-refundable deposit is required for all extension services. This deposit secures your appointment and will be applied toward your total service cost. Please note: all deposits are non-refundable, regardless of cancellations or rescheduling requests.

Cancellation Policy

We understand that unforeseen circumstances can arise. However, in respect of our time and yours, we observe a strict 24-hour cancellation policy:

• Cancellations with less than 24 hours’ notice will incur a charge equal to 50% of the reserved service.

• No-shows will be charged 100% of the reserved service amount.

This ensures we can continue providing premium service to all of our valued clients.

Rescheduling Policy

We recognize the need for flexibility and allow two complimentary reschedules within a 30-day period from your original appointment date, as long as the request is made at least 48 hours in advance.

• Additional rescheduling or changes made after the 30-day window may result in the forfeiture of your deposit, allowing us to effectively manage our schedule and honor the time of all guests.

Late Arrival Policy

A 15-minute grace period is extended for late arrivals. We kindly ask that you notify us via text or call if you are running late.

• If arrival exceeds the grace period, a $35 late fee will be applied.

• Excessive tardiness may require the appointment to be rescheduled, resulting in a forfeited deposit.

Refund, Service Correction & Satisfaction Policy

Your satisfaction is important to PHD Hair Solutions. Because our services involve reserved appointment time, professional labor, customized work, hair, products, supplies, and/or materials used specifically for each client, payments for completed services are not automatically refundable.

If you have a concern regarding your service, you must contact PHD Hair Solutions within 48 hours (2 business days) of your appointment and provide a reasonable opportunity for the service and concern to be evaluated before seeking correction elsewhere.

For extensions, hair replacement, alopecia coverage, wigs, toppers, sew-ins, or other attachment services, clients should contact PHD Hair Solutions promptly if they experience unusual or persistent pain, excessive tightness, irritation, swelling, sores, or any other unexpected reaction. Clients should not independently remove, alter, cut, loosen, chemically process, or otherwise modify the installation before PHD Hair Solutions has had a reasonable opportunity to evaluate the concern whenever reasonably possible.

If a client independently removes, alters, manipulates, chemically processes, or has another person remove, alter, or modify the service before PHD Hair Solutions has an opportunity to evaluate it, PHD Hair Solutions may be unable to verify the original condition of the service or determine the cause of a subsequently reported concern. Eligibility for a correction, replacement, credit, or refund may therefore be affected.

When travel or distance makes an in-person return impractical, clients should contact PHD Hair Solutions before taking corrective action whenever reasonably possible. They may be asked to provide clear photographs or video so available options can be evaluated.

Hair, Products & Custom Materials

Hair, wigs, toppers, extensions, customized units, adhesives, products, and other materials that have been ordered, customized, colored, cut, installed, opened, altered, or used for a client may not be eligible for refund or replacement. PHD Hair Solutions cannot guarantee the quality, performance, compatibility, longevity, or reaction associated with hair, products, adhesives, or materials supplied or obtained outside of PHD Hair Solutions.

Service Corrections

When appropriate, PHD Hair Solutions may offer an adjustment or corrective appointment after evaluating the individual circumstances. Any exception, credit, replacement, correction, or partial refund offered by PHD Hair Solutions is determined on a case-by-case basis and does not constitute an admission of fault or create an obligation to provide the same resolution in another situation.

Photography & Documentation

PHD Hair Solutions may photograph and/or record portions of services for professional documentation, service records, education, portfolio, marketing, and social media purposes, subject to applicable consent requirements. Clients may request face concealment or decline marketing/publication use where applicable. Declining public or marketing use does not prevent PHD Hair Solutions from maintaining appropriate service documentation and business records where permitted by law.

By booking and receiving services from PHD Hair Solutions, clients acknowledge that they are responsible for reviewing and following applicable preparation, aftercare, maintenance, and service instructions and for communicating concerns promptly so that PHD Hair Solutions has a reasonable opportunity to evaluate them.

PHD Hair Solutions reserves the right to determine the appropriate resolution based upon the individual facts and circumstances of each service concern.

Guests & Children

To maintain a serene and focused environment, we ask that you do not bring children or additional guests to your appointment unless medically necessary or previously arranged. This policy supports the peaceful, private experience we aim to deliver for every client.
